Since changing over to our new system at the beginning of 2009 and allowing a search by last name, some users have noticed what appear duplicate clients. This can occur for a few reasons, but it mainly boils down to users adding a client before thoroughly searching for them. In any event, if you believe you have found a duplicate client, we have the ability to merge the records and delete the duplicate record. When this issue arises, simply email us with a brief description of the client along with the last five digits of their SS#. We will take a look into the situation and merge the records for you if that seems to be the appropriate action to take.

If you have forgotten your username and password, the quickest way to retreive that information is by using the "Forgot Usnerame or Password" link directly above the login box. Once the new page opens enter your registered email address in the box provided and the information will be emailed to you. While we are always glad to assist you via email or phone call, this is the quickest way to retrieve the information. NOTE: You need to make sure that your email address is always current by checking the MY ACCOUNT information once you have logged into the system and updating whenever your email address changes.

If you are searching for a client by the last five of their Social Security number, try searching by their last name as well. Some clients have been known to try and "cheat" the system by giving a different number at every agency. Since not all agencies verify the Social Security number as they should, some clients can have multiple records. Searching by the last name and comparing addresses among other information can help you detect those who are being deceptive.
***********************
With the new design updates the full Social Security number is no longer needed to add clients, simply the last five digits. It is imperative, that you gather this information from the client and do not simply "create" numbers for them. Any records that have been created with "bogus" social security numbers risk being deleted by the network administrator.
Also, be sure to update clients to the new format as they return for assistance.

When trying to search by last name for a client, a rather long list may be returned. Instead of scrolling down through the entire list, try to shorten the search by using the ct+alt+f keys. This will display another search box which will allow you to enter more search criteria, such as a first name. Simply click on "next" until you have found the record you want or eliminated all other possibilities. |
